How to use this blank invoice template

  1. Download and open it. Every field is labelled but empty, so you can start typing without clearing anything out first.
  2. Fill the top block with your business details once, then save that as your own master copy. Everything after that is just the client and the work.
  3. Write one line per unit of work. Eleven rows is more than most invoices need — leave the rest empty rather than padding them.
  4. Add up the amounts and write the subtotal, tax and total. Nothing calculates; that is the trade you make for a form with no logic in it.
  5. Save a copy for yourself before sending. The IRS expects records that support the income you report.

Why a blank form rather than a filled-in one

Most free invoice templates arrive stuffed with a fictional company, a made-up address and three example line items, and the first thing you do is spend two minutes deleting somebody else's data. Worse, it is easy to miss a line. Sending a client an invoice that still says "Acme Corp, 123 Main Street" in the footer is a small mistake that costs more credibility than it should.

This version has none of that. The structure is there — invoice number, dates, from and bill-to blocks, a ruled line-item grid, subtotal, tax, total, and space for payment terms and notes — but every value field is empty. What you see on the page is what a finished invoice will look like, minus your content.

It is also the version to print. With no grey placeholder text, a blank form photocopies cleanly and stays legible when filled in by hand, which matters if you keep a pad in the van rather than a laptop.

Four lessons and one recital fee on two lines, because they were priced differently and a parent querying the $400.00 should be able to see why in one glance.

Due on receipt rather than Net 30 because this is a household, not an accounts payable department. Consumer clients generally pay when asked and forget when given a month; corporate clients are the opposite. Match the terms to who is actually paying.

No tax because tutoring is a personal service, and services are untaxed in most states. Private instruction is taxable in a handful — check yours rather than assuming, since this is exactly the kind of small recurring income that gets looked at.

Limits and things to watch for

  • Nothing calculates. Every total is a number you work out and type. If you want the arithmetic done, use the Excel version.
  • No example content also means no guidance while you fill it in. If this is your first invoice, start from the standard template instead, which has bracketed hints showing what belongs where.
  • One page and eleven rows. Longer jobs should be summarised into grouped lines with the detail attached separately.
  • There is no logo space. Add one by inserting an image into the top-right block and keeping it under about half an inch tall.

What is the difference between this and the standard invoice template?
The standard template has bracketed placeholder text showing what goes in each field. This one is empty. Take the standard one if you want the hints; take this one if you already know the format and would rather not delete anything.
Can I print this and fill it in by hand?
Yes, and it is the version best suited to it. With no placeholder text the rows are clean, and there is no shading to drain a cartridge or turn grey in a photocopy.
Is a blank invoice still legally valid once filled in?
Yes. There is no requirement in the US that an invoice come from software. It needs to identify both parties, describe the work, state the amount and the date, and be something you keep a record of.
